Account Coordinator

Reports to: Director of Account Services

Description: The Account Coordinator (AC) provides a variety of administrative, clerical, accounting and trafficking functions for Cuneo Advertising. They will work closely with the Account Services, IMTS and Project Management teams. The AC plays a vital role in the agency’s success and efficiency, ensuring all assets are pre-approved and compliant, campaigns launch with correct assets, all required documentation is gathered, deadlines are met and client co-op funds are maximized. Being highly organized and able to multi-task in a fast-paced environment is the key to success in this role. This role and its duties are subject to change as agency needs change.

Responsibilities Include:
  • Detailed understanding of overall OEM compliance and co-op requirements
  • Confident knowledge of assigned clients’ OEM compliance and co-op requirements including ability to answer all internal team questions and provide support during client meetings
  • Ensures that all ad materials are pre-approved and compliant
  • Responsible for managing all traffic deadlines
  • Traffics finished creative product to all delivery channels either direct to vendor or to IMTS team, including necessary co-op required documentation
  • Acquire and process notarized affidavits and proof of performance for coop-eligible schedules by specified deadlines
  • Submits all assigned client co-op for reimbursement (if applicable) by specified deadlines
  • Maintain digital record on Cuneo server of all pre-approvals, traffic instructions and compliance/co-op documentation
Adjunct Responsibilities:
  • Serve as substitute support for front desk staff/receptionist
  • Provide assistance at agency and/or client events, promotions and other functions
  • Others as may be defined by supervisor

 Experience and Attributes:

  • Strong preference to candidates with a four-year degree in advertising, marketing, communications or related field, or equivalent work experience
  • Minimum 1 years advertising and/or marketing experience or related internship and training
  • Prior agency experience is desirable
  • Ability to clearly and effectively communicate with agency staff and outside vendors as required
  • Ability to multitask in a fast-paced, deadline-driven environment
  • Reliable, professional and extremely organized
  • Keen attention to detail
  • Strong skills in Microsoft Excel, PowerPoint and Word
